If unnecessary sensitive information is volunteered, we will not use it for mentoring and will delete it where reasonably practicable. When data is no longer required, it will be securely deleted from all systems and processors.
When you apply for or take part in 1:1 mentoring, Admin AI Insights Ltd collects the information you provide in the mentoring diagnostic form, including your name, email address, role context, experience of workplace tools, mentoring goals, learning preferences and your optional recording choice.
We use this information to arrange, prepare and deliver your mentoring, personalise the support provided to you, communicate with you about the programme, and maintain accurate mentoring records. Craig reviews your responses personally. No automated decision-making or profiling is used.
Please keep workplace examples anonymous and do not provide executive or client names, passwords, commercially sensitive information, personal information about colleagues, diagnoses or medical information. We do not ask you to provide special-category personal data for the mentoring programme. If unnecessary sensitive information is volunteered, we will not use it for mentoring and will delete it where reasonably practicable.
Our lawful basis for using the information necessary to arrange and deliver the mentoring is performance of a contract, or taking steps at your request before entering into a contract, under Article 6(1)(b) UK GDPR.
Recording a mentoring session is optional and relies on your consent under Article 6(1)(a) UK GDPR. Saying no will not affect your mentoring. Craig will confirm your permission again at the start of every recorded session. You may withdraw recording consent at any time by emailing craig@adminaiinsights.com. Withdrawing consent does not affect processing that took place before withdrawal.
Mentoring form responses and manual mentoring records are stored in a restricted Google Workspace area and are accessible only to Craig unless access is required by a specifically authorised service provider. They are not used for marketing and are not entered into or uploaded to an AI service.
Mentoring diagnostic responses and manual mentoring records are retained for 6 months after the final mentoring session to support continuity during the programme and a limited period for follow-up or queries. They are then securely deleted unless a legal obligation requires a limited part to be kept longer.
If you agree to recording, the recording is used only to support accurate notes and agreed learning materials. It is stored in Craig's restricted Google Drive and deleted as soon as those notes and materials have been completed, and no later than 30 days after the recorded session. Recordings are not transcribed, summarised or otherwise processed by an AI service.
You may ask questions or exercise your data-protection rights by emailing craig@adminaiinsights.com. The rights, complaint route and controller details in the main privacy policy also apply to the mentoring programme.
Under UK GDPR, you have the following rights regarding your personal data. You can exercise any of these rights by emailing craig@adminaiinsights.com. We will respond within one calendar month.
