Most admin professionals have used ChatGPT at least once. Fewer have had it actually save them time. The usual pattern is a quick, vague instruction, a reply that reads like it was written by someone who has never met your executive, and a quiet decision that the tool isn't really for you. What ChatGPT Is Genuinely Good At

ChatGPT is reliable at producing a first draft from a clear brief, summarising something long into something short, structuring scattered information, and offering a starting point on a topic you haven't researched yet. The quality of what comes back tracks the quality of what you put in almost exactly — specific context, a stated tone, and a clear sense of what "good" looks like will get you most of the way to something usable on the first attempt.

What Still Needs You

ChatGPT doesn't know your organisation's confidentiality boundaries. Client names, commercially sensitive detail, and anything your organisation would class as restricted shouldn't go into it unless your workplace has specifically approved that use. It also can't judge tone for a specific relationship, decide whether a message should be sent at all, or take responsibility for a decision. Anything sensitive, anything going out under your name, and anything with real consequences stays with you. After: a draft that actually addresses what was raised, in the right tone, which you then read, adjust to your own voice, and send — still the one who decided what needed saying.

ChatGPT or Microsoft Copilot?

Not an either/or in most workplaces. Copilot works from inside your existing Outlook, Teams and Word content, so it's strongest when a task needs your own mailbox or documents as context. ChatGPT works from whatever you give it directly, which makes it more flexible for open-ended drafting, research and planning that doesn't depend on your inbox.
